Terms and Conditions
1. Agreeing to the Terms and Conditions
By ticking the box labelled “I have read and agree to the terms and conditions of entry,” you agree to take part in the LGSA Cold Water Swimming & Yoga Retreat (hereinafter referred to as “the retreat”) and abide by the following conditions, and any instructions given to you by the organisers of the retreat.
2. Contact Details
Important information will be emailed to you using the address provided upon registration, and LGSA may send you documentation after the retreat. You must ensure that your contact details remain accurate and up to date and notify LGSA promptly of any changes.
Failure to provide complete and accurate information may result in your application being rejected. LGSA reserves the right to reject incomplete applications should the missing information not be provided within the deadlines set by LGSA. Applicants whose registrations are rejected will not be allowed to take part in the retreat, and no refunds will be given.
3. Payments and Deposits
A non-refundable deposit of 500 EUR is required to secure your place in the retreat. You must ensure that all payments are completed by 31 January 2026.
All fees paid to LGSA are non-transferable and non-deferrable. Failure to pay the balance by the deadline may result in your place being forfeited without refund of the deposit or any prior payments.
You are responsible for ensuring you meet all requirements set by LGSA. Failure to do so may result in refusal of participation without refund.
4. Cancellation by You
If you are unable to participate due to a verified medical reason (refunds will not be issued for any other reason), you must inform LGSA immediately via email and provide a valid medical certificate as proof.
If approved, your cancellation is subject to the following terms:
Before 31 January 2026 – LGSA retains the deposit only
Between 31 January and 29 February 2026 – LGSA retains 50 % of the total fee
After 29 February 2026 – LGSA retains 75 % of the total fee
Submission of a medical certificate does not guarantee that it will be accepted. Refund decisions are made on a case-by-case basis, and approval in a similar case does not guarantee approval in yours.
LGSA reserves the right, at its discretion, to consider partial refunds in exceptional circumstances supported by documentation.
5. Cancellation by LGSA
LGSA may cancel the retreat if exceptional circumstances beyond our control arise, including but not limited to:
adverse weather conditions
poor water quality
water temperature above 31°C
war, civil or political unrest, terrorism, or natural disaster
plague, pandemic, public-health concerns, or strikes
unavailability of key staff due to illness, injury, or unforeseen events
revocation of permissions by authorities
In such cases, LGSA will endeavour to reschedule the retreat at the same or another location. No refunds will be made if the retreat is rescheduled. If LGSA is unable to reschedule, 50% of the fees paid will be refunded.
LGSA shall not be liable for any costs beyond the retreat fee paid directly to LGSA, including but not limited to travel, additional accommodation, or associated expenses.
The retreat requires a minimum number of participants to run. If this minimum number is not reached, LGSA reserves the right to cancel the retreat up to 60 days prior to the start date. In this case, all fees paid will be refunded in full.
6. Your Age and Medical Condition
You must be at least 18 years old on the first day of the retreat. The programme includes activities such as cold-water immersion and yoga, which may carry health risks.
If you have any medical conditions, have been unwell, or have experienced changes in your health or physical state (such as pregnancy), you must consult your doctor before participating.
By registering, you confirm that you are fit to participate in the retreat and understand that participation is entirely at your own risk. LGSA shall not be held liable for any illness, injury, or condition arising from your failure to obtain appropriate medical advice.
In the event of a medical emergency, you authorise LGSA staff or designated first responders to obtain medical assistance as deemed necessary and agree to be responsible for any resulting costs.
7. Event Safety and Non-Compliance
All participants must follow the instructions of organisers and safety staff before, during, and after any cold-water swims, dips, or yoga sessions. Any activity may be cancelled or modified for safety reasons, including lightning, severe weather, or a serious incident.
LGSA reserves the right to refuse or terminate participation if you:
use another person’s registration or exchange entries
fail to follow instructions
act in a way that may cause harm or offence to staff, participants, or the environment
pose a health or safety risk
appear under the influence of drugs or alcohol
are unfit to participate due to illness or injury
arrive late
engage in ambush marketing or behave abusively, discriminatively, or inappropriately
Such behaviour will result in immediate removal from the retreat without refund.
8. Mandatory Tow-Float
Each participant must wear a tow-float during open-water swims. This enhances visibility but is not a life-saving device. Participants who only dip without swimming are not required to wear a tow-float.
9. Wetsuits
Wetsuits are optional. The purpose of the retreat is to experience the benefits of cold-water swimming or dipping; wearing a wetsuit may lessen that experience.
10. Event Changes
LGSA reserves the right to make changes deemed necessary to ensure the retreat runs safely and smoothly. This may include adjusting schedules, session lengths, or activity formats.
11. Use of Images
LGSA reserves the right to use photographs, videos, or other recordings of participants for marketing, promotional, and archival purposes, without compensation.
12. Insurance and Liability
You must have your own insurance coverage for the duration of your participation, including medical emergencies, personal accidents, and trip cancellation/interruption.
LGSA holds third-party liability insurance for the retreat, which does not cover participants’ personal accident, injury, loss, or third-party claims.
LGSA shall not be liable for any:
loss or damage
loss of profit, reputation, business, or goodwill
charitable pledges made by you or on your behalf
consequential or indirect loss
illness or injury resulting from your own negligence or lack of preparation
Nothing in this Agreement limits LGSA’s liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
You acknowledge that you are solely responsible for your actions during the retreat and agree to indemnify LGSA against any claims made by third parties resulting from your negligent acts or omissions.
Participation in the retreat and its activities is entirely at your own risk. By registering, you accept the inherent risks of cold-water swimming and yoga, including but not limited to cold shock, hypothermia, slips, falls, and physical strain.
13. Data Protection
Personal data collected for the retreat will be used solely for event administration and communication, in accordance with applicable data-protection laws.
Your data will not be shared with third parties except as required for operational purposes. You may contact LGSA to access, modify, or delete your information at any time.
